Step-by-Step Guide: How to Set Up a Pipe and Drape Backdrop for Weddings & Events

Pipe and drape backdrops are a versatile and elegant way to enhance any wedding or event space. Whether you're covering an unsightly wall, creating a photo booth, or designing a dreamy ceremony backdrop, learning how to set up a pipe and drape system is essential. In this guide, we’ll walk you through the step-by-step process to ensure a flawless setup.

Materials You’ll Need

  • Adjustable upright poles

  • Base plates

  • Horizontal crossbars (also known as drape supports)

  • Drapes (polyester, velvet, chiffon, etc.)

  • Sandbags or weights for stability (optional but recommended)

  • Our secret weapon; crossbar hooks

  • If you do not have crossbar hooks you can also use post covers or extra drapes to cover the posts


Step 1: Choose Your Setup Location

Before assembling your pipe and drape backdrop, determine the best placement. Consider factors like lighting, space constraints, and background aesthetics. Ensure the area is level and free of obstacles. Sometimes it is helpful to lay the crossbars out at the desired width on the floor to determine baseplate placement.


Step 2: Assemble the Base Plates and Upright Poles

  1. Lay down the base plates where you want your uprights to stand. The heavier the base plate, the more stable your structure will be.

  2. Insert the upright poles into the designated holes on the base plates. Most upright poles are adjustable, so set them to your desired height. We recommend adjusting the height after steps 3 and 4.

o   At Better Together Rentals our posts are all 6ft in height and extendable to 10ft – if you can get posts with quick release buttons, they are even easier to expand. Just stretch the post to the desired height and push the button to lower it back down.


Step 3A: Hide the Posts (OPTIONAL and included with all Better Together Rentals)

1.      The best way to hide the posts is to hang hooks from the top slots of your pipe and drape posts. Instead of the crossbar fitting in those post slots, it will sit in the slots on the hook. This is also a good way to add a layered backdrop. This blog covers the set-up of single layered backdrops. 2.      Other options include sliding post covers onto the posts, so they blend in with the colour of the backdrop

3.      Option 3 to hide the post is to take an extra curtain, take a zip tie and tie it really tight around the top of the post and let the fabric drape down to block the post


Step 3B: Attach the Crossbars

  1. Slide the horizontal crossbar (or multiple crossbars for wider backdrops) into the slotted tops of the upright poles (or into the hooks). This is best to do before raising the side posts up to your desired height.

  2. Ensure they are securely locked into place before adding drapes.


Step 4: Hang the Drapes

  1. If your drapes have rod pockets, simply slide them onto the crossbar before securing it in place.

  2. For drapes without pockets, use clamps or tie-backs to secure them to the crossbar.

  3. Adjust the fabric so it hangs evenly and touches the ground slightly for a professional, polished look. Really pay attention from a far away distance that your crossbar is level and adjust the side posts as needed.


Step 5: Secure the Structure

To prevent tipping or shifting, add sandbags or weights to the base plates, especially for outdoor setups where wind can be a factor. You may want to do this before adding the curtains and raising the structure up if you are setting up alone.


Step 6: Finishing Touches

  • Fluff and arrange the drapes to remove wrinkles and create soft, elegant folds. (using a steamer may help with this as most rental fabric has been folded prior to renting)

  • Add decorative elements like fairy lights, floral arrangements, or neon signs to enhance the backdrop.

  • Test the stability of the setup by gently pulling on the drapes to ensure everything is securely in place.


Troubleshooting Common Issues

  • Drapes won’t stay in place: Use clips or tie-backs to hold them securely.

  • Backdrop looks wrinkled: Use a steamer to remove creases from fabric drapes.

  • Structure feels unstable: Ensure your base plates are heavy enough or add sandbags for extra support.
